Job Purpose
To ensure efficient functioning of the Warehouse Distribution and Administrative functions which support the warehouse team in a timeous supply of stock to depots and direct customers within agreed service levels to exceed customer expectations.
Key Responsibilities
Safety
- Ensure all safety rules are adhered within the Distribution Centre and display ambassadorship of the 12 lifesaving rules.
- Record 3PL (3rd Party Logistics) OTIF Performances and report adherence to the shift Controller.
- Communicate late arrivals with transport Controllers.
- Manage call-offs from suppliers and react timeously when availability is at risk.
- Raise critical issues (HME- Handling Machine Equipment availability) to stakeholders and higher management when necessary and communicate the impact of changes to the plan to relevant stakeholders.
- Partake in cost-saving initiatives (TIMWOODS)
- Update departmental assets and propose replacements when due.
- Assist with Administrative Budget Preparations.
- Ensure COUPA expenditure is in line with Monthly ROFO commitments.
- Understand the site`s Objectives and add value.
- Monitor 3PL Supplier CFR (Case Fill Rate) Weekly performances.
- Take part in 5 WHY problem solving and assist with Coaching Admin Clerks.
- Consistently meet operational key performance indication within the DAC (Distributions and Administration) space.
- Ensure 5s is implemented, maintained and improve towards maturity level.
- Ensure effective document control and traceability.
- Perform a traceability mock recall Document Process.
- Perform STO processing of BLE (Botswana, Lesotho and Eswatini) coupled with Exports.
- Effectively control stock movements by ensuring the applicable Export documentation is generated, signed off and filed.
- Ensure Stock system is a real time reflection of physical stock by timeous processing of stock movement transactions.
- Lead the CHEP stock count process and assist with WMS stock take administrative tasks.
- Perform Job Observations in your department to validate staff development opportunities.
- Allocate on-line training to admin clerks and unlock the full potential.
- Timeous shipment of customer orders.
- Deliver the correct product on time and in full, meets required quality standards.
- Perform ICC reviews for Sales and Distributions.
- Effectively manage non-conformance process and all documentation relevant to rework.
- Ensure financial controls are in place as required by company internal control checklists.
- Ensure control of purchasing required in warehouse environment follow the correct sourcing procedure.
- Ensure controlled use of outsourced labour through use of COUPA , authorised process and documentation.
- Ensure the use of TPM practices to achieve business results.
- Meet Service Level Agreements.
- Build effective and trusting relationships with customers/suppliers and Export Controller.
- Actively contribute to innovations and near misses within the team.
- Log STO Queries and resolve within 48hrs.
- Be a Custodian for Lifelong Learning and complete online courses within the defined timeframes according to TPM methodology.
- Record Logistics KPIs according to applicable Heineken standards and keep DCS Charts update.
- Collaboration across departments and sources of supply.
- Lead 5WHY problem solving within your department.
- Minimum in Supply Chain, Operations, Industrial Engineering, Logistics, or relevant related qualification.
- 1-3 years relevant experience, preferably in one or more of following areas: Warehousing and Distributions.
- Computer literacy with sound working knowledge of SAP experience with proficiency in Excel and PowerPoint.
