About The Role
We are seeking a warm, highly organized, and articulate Care Manager to join a premier group psychotherapy practice specializing in Couples Therapy and Sex Therapy. This is a higher-level administrative role best suited for someone who thrives in a fast-paced, client-facing environment and is comfortable speaking openly and compassionately about topics related to intimacy and sexuality.
As the primary point of contact for incoming clients and external partners, youll manage a wide range of dutiesfrom client intake and therapist scheduling to outreach and team support. This role is perfect for someone with a client service background, strong phone presence, and passion for mental health.
Key Responsibilities
- Serve as the first point of contact for incoming client calls and inquiries
- Manage therapist scheduling using practice management software
- Match new clients with appropriate therapists and coaches based on their needs
- Conduct satisfaction calls following first appointments to ensure service quality
- Follow up with leads and referrals who have not engaged
- Respond promptly to new inquiries via phone, email, and contact forms
- Support billing-related coordination
- Conduct initial outreach, job posting, and pre-screening interviews for new therapist applicants
- Lead pre-screen interviews for therapists and coaches applying to join the team
- Perform community outreach and business development efforts with partner organizations, clinics, and institutions
- Contribute to ongoing refinement of intake, onboarding, and team management processes
- Support general administrative tasks as needed
- Attend weekly team meetings
- Provide weekend coverage for intake calls, when necessary
- Maintain high client engagement and satisfaction rates through effective intake processes
- Improve internal systems and workflows to support long-term business goals
- Track and report relevant KPIs and operational metrics
- Expand brand awareness and presence within local and online communities
- Associate's or Bachelor's degree (preferred in psychology, social work, or a related mental health field)
- Minimum 4 years' experience in client services, care coordination, or clinical intake
- Excellent verbal and written communication in English, with a warm and professional tone
- Strong comfort discussing sensitive topics, including intimacy and sexual health
- Self-starter who is proactive, goal-driven, and comfortable managing responsibilities independently
- Detail-oriented with strong organizational skills
- Proficient with spreadsheets, email, scheduling systems, and Zoom
- Available for some evening and weekend support aligned with client behavior trends
