CONTRACT ADMINISTRATOR


About the Position

Job Purpose:

To provide a frontline service to colleagues and customers on restructures, fuel and e-tag management, terminations, settlements, reports, end of contract deals and customer Make Good Costs rebels.

Description/Tasks/Responsibilities

  • Filling and scanning done daily
  • Ensure month end and billing activities is performed within the applicable time lines.
  • Ordering and cancelling fuel cards and e-tags
  • Ensure ongoing feedback is given on requests processed (settlements, terminations, restructures etc.)
  • Ensure system and documentation accuracy at all times.
  • Ensure settlement requests, restructures and terminations are processed and maintained in accordance with the processes implemented in the department.
  • Plan and allocate workload within the team evenly
  • Manage the day to day activities in the department
  • Building relationships with customer and other departments.
  • Responsiveness: Speed of responses, reaction time, going the extra mile, turnaround time.
  • Interprets business/customer requirements to provide timeous solutions.
  • Analysis of the month-end reports to ensure accuracy of data.
  • Identify problem areas and ensure corrective action is taken.
  • Interface with customers where necessary

  • Create, maintain and enhance effective working relationships with staff, customers and service providers

  • Understand how the function impacts on other business units and ultimately on business results.
  • Review business policies and procedures, and recommend changes where necessary
  • Create, maintain and enhance effective working relationships with staff and other departments
  • Document Control - Ensure all processed documents is filed and scanned on the relevant server / DMS / CRM / ON BASE.
  • Monthly reporting

  • Deals terming in 6 months, manage return process
  • Post Term report, manage return or settlements
  • Contract Deviations
