Key Performance Output
Responsibilities
The successful candidate will be reporting to the Senior Terminal Operations Coordinator. and will be responsible but not limited to the following:
- Perform and oversee office administration
- Assist in implementation of interventions
- Monitor levels of stock, chemical products, equipment and consumables
- Replenish levels of stock, chemical products, equipment and consumables in line with SCM processes
- Manage and maintain hard copy and electronic filing system
- Recordkeeping, retrieving and filing of relevant documentation
- Coordinate and extract reports from functional system to enable reporting of functional activities
- Give input into the SCM process for the sourcing of Contractors/Service Providers.
- Facilitate contractor activity on site in line with SLA
- Conduct inspections and audits of Contractor activity on site
- Monitor functional contracts to ensure effective planning for their renewal through SCM processes
- Assist with the drafting and scoping of SCM documents and templates and submit in accordance with DLAs
- Oversee and coordinate the payment of functional suppliers
- Track functional spend and ensure compliance to annual budget
- Introduce cost saving initiatives to ensure the containment of costs
- Respond to request, queries and escalated complaints. Escalate to relevant personnel when unresolved
- Assist with the resolution of escalated requests, queries and complaints
- Ensure effective communication with stakeholders and customers to enable high satisfaction levels
- Maintain an effective network and timeous communication in area of influence
- Build, support and maintain healthy internal and external relationships to ensure achievement of organizational goals. Implement remedial action when required
- Adhere to and ensure adherence to statutory regulations, organisational standards, policies and procedures. Report non-compliance and implement corrective actions to ensure compliance.
- Ensure all source documentation is confidentially maintained, securely stored and filed in accordance with Standard Operating procedures
The following skills & experience is required or equivalent of such is required:
- Diploma in Contracts, Business or Administration Management is essential.
- 2 - 3 years operational experience within relevant functional discipline is essential
- 1 - 2 years supervisory experience within relevant functional discipline is recommended
- Code-B motor vehicle license
- Intermediate proficiency of MS Office packages
