Job Description
You will be expected to manage the offices of Corporate Affairs in that to ensure accessibility and availability, attend meetings and follow up on actions emanating from the meetings as well as ensure that management has access to the necessary information and resources in a timeous manner as needed to make management decisions.
More of your responsibilities will include:
- Taking responsibility for the admin of finances of Corporate Affairs, this will not be limited to the budgets, MOP, payments, orders and the likes
- Liaising with the executive team and other internal and external stakeholders, ensuring a high level of confidentiality always
- Assisting with development, collation and submission of reports
- Assisting with collation & submission of the Mining Charter Report and ensuring records are updated regularly and collate files
- Developing and maintaining a database for effective storing of relevant documents such as briefs, financial records and any other relevant documentation
- Collate the Socio-Economic development spend from all sites for reporting and non-financial assurance processes
- Preparing, organizing, attending and recording Corporate Affairs monthly meetings
- Assisting with budgeting and accrual process throughout the financial year
- Obtaining all necessary authorisation for order and invoice payment for the department
- Processing of orders and payments as and when required
- Identifying appropriate signatories in order to ensure legal and technical approval is obtained and ensure documents are signed on time
- Responsibility for effective record keeping and maintenance thereof ensuring that all contracts and agreements are kept in safe custody
- Diploma / Degree in Office Administration and Finance (NQF Level 6/7)
- MS Suite Office certification
- Minimum 3 years experience in similar administrative/ secretarial role
- In-depth experience in working with senior leadership
- In-depth experience in financial administration
- Advantageous: In-depth experience in the mining industry
- Basic understanding of the legislation and regulations pertaining to the mining industry including the Promotion of Access to Information Act
- Knowledge of archiving and filing systems
- Knowledge of working with budgets and financial reports
- Knowledge of the English language incl. the meaning and spelling of words, rules of composition and grammar
- Knowledge of effective business communication principles
- Typing and shorthand skills
