Minimum Requirements
Essential:
- Matric or equivalent Senior Certificate
- Minimum of 2 years relevant experience
- Qualification in Human Resource Management
- 2nd Additional Language Read, write and speak well.
Labour relations Administration:
- Ensure that all HR/IR filing are kept up to date.
- Manage and update the Labour Relations section on
- Ensure all travel arrangements are booked well in advance for any Departmental travels.
- Liaise with, provide feedback and work closely with the Group HR Manager.
- Ensure Day-to-day HR/IR advice is communicated to Managers with regards to Provident fund/ COIDA/
- Disabilities and general Labour issues when needed.
- Ensure compliance through audits and check the HR processes on Branch level quarterly basis.
- Keep up to date with current and new Labour Legislations developments (Employment Equity Act, Workplace Skills Development Act, BCEA, LRA, UIF, COIDA, OHSA, etc.) as well as developments in the
- Human Resources field.
- Assist in the typing up, formulating and implementation of HR/LR documents (New process to follow).
- Keeping all Labour Relations Templates up to Date.
- Prepare documentation on Department of Labour inspections and submit and distribute
- documentation through to the relevant managers.
- Updating all applicable spread sheets for analysis of membership for all Hairdressing, Cosmetology,
- Beauty and Skincare employees appointments and resignations at the bargaining council.
- Ensure Union membership is updated and monthly reports submitted to Union and Group HR
- Manager.
- Compiling statistics on union members for group HR Manager & regional Managers on a monthly basis.
- Ensure the following gets done with regards to Policies and Procedures Administration.
- Ensure that all the policies & Procedures are in Dis-Chem format.
- Place and communicate updated Policies & Procedures on intranet.
- Ensure that Labour Relations Admin Newsletters are created and updated on an annual basis.
- Compiling and/or communicating updated Labour Relations Admin Newsletters on an annual basis.
- Communicating and/or issuing Policies and Procedure documentation to new stores to open.
- Communicating and/or issue Policies and Procedure documentation to current stores upon request.
- Send legal posters (BCEA, OHSA, EE) to current stores upon request.
- Ensure the following gets done with regards to CCMA Administration
- Ensure CCMA Trackers and notice boards are up to date.
- Administrate and communicate CCMA set downs.
- Compile monthly data/ statistics/ for HR/IR reporting regarding, terminations (Dismissals with reasons, resignations, death, etc.), warnings issued in the Dis-Chem Group, CCMA disputes, employee Stats, Provident Fund progress report, travel and department expenses and department leave reports.
- Submit objections against Arbitrations after Conciliation.
- Request and receive all applicable referral documentation from the CCMA offices nationally.
- Request and receive all procedural documents from applicable stores and departmental managers.
- Coordinate all witnesses attendances to CCMA Hearings
- Prepare all Procedural files and bundles for Conciliations, Arbitrations, Con/Arb processes, Conciliations in limines, Rescission Hearings, investigation of previous CCMA cases/Legislation on a ADHOC basis.
- Ensure the following gets done with regards to Provident Fund Administration:
- Funeral Claims Ensure all documentation is received, claims are finalised and payments made to the family.
- Death Claims Arrange meetings and ensure all documentation received in meetings with families is correct and claims gets finalised.
- Disability Register and gather documentation to ensure claims get finalised.
- Communicate with stores or family members regarding pay outs of the fund.
- Communicate all relevant information to Brokers and Liberty Life.
- Compile statistics and progress reports on Provident Fund claim statuses.
- Ensure the following gets done regarding training administration.
- Arrange and provide training on new IOD (Injury on Duty) Procedures and the integration of new IOD Systems.
- Arrange and provide Provident Fund Training (Funeral, Death, Disabilities) including its policies and Procedures.
- Arrange and provide training on administrative procedures in regard to issuing of warnings.
- Arrange and provide training in regard to unions - membership, rights and recruiting.
- Arrange and provide training on Department of Labour inspections - administrative documents thats required, rights of employer and rights of inspector.
- Issue Certificates of Attendance for all Labour Relations Training.
- Ensure the following gets done regarding COIDA administration.
- Keeping Provident Fund and COIDA data sheets up to date.
- Provide advice to Managers how to deal with Injury on duties.
- Submit documentation to Compensation Commissioner.
- Ensure the following gets done regarding Labour News.
- Ensure all managers have completed labour news review/ test bi-annually.
- Ensure all labour news are placed on intranet in as soon as its available.
- Ensure the following gets done with regards to Disciplinary Administration.
- Capture all disciplinary documents on SAP and relevant Data Sheets.
- Report to the Group HR Manager on all disciplinary documents thats incorrectly issued that has been brought to Admins attention.
- Take and type up minutes regarding disciplinary hearings.
- Ensure payments made via Dis-Chem to Provident Fund beneficiaries are paid correctly and timeously.
- Liaise with Financial Department to ensure that proof of payments is sent as soon as reasonably
- possible.
- Ensuring Settlement agreements and Arbitration Awards are paid timeously according to said
- agreement or applicable law.
- Liaising with the Payroll Department with regards to departmental fuel claims.
- To assist and support Managers with advice on administrative and all HR and IR related matters.
- Build and maintain functional relationships with all hr stakeholders.
- Attend meetings at Branches and Head Office when required.
- Attend to any adhoc projects as requested by the Group HR Manager.
- Assist all queries from Admin Managers, Store Managers and Regional Managers.
- HR Acts (LRA, BCEA, SDLA, OHSA, COIDA, UIA, UI Contribution Act, SDA and EEA).
- Ability to efficiently operate a personal computer and associated software, including but not limited to automated human resources system.
- Ability to prepare and interpret policies and statistical reports.
- Ability to effectively prepare and efficiently maintain accurate records and reports. Ability to maintain confidentiality and objectivity even when dealing with controversial issues.
- Ability to plan and coordinate meetings, programs, and activities. To be competent and able to work and understand the SAP Payroll system, DOCIT system and HEAT system.
- Be able to understand, interpret and develop advanced Labour reports and statistics.
- Clear understanding of financial principles.
- English Read, write and speak well. To effectively communicate with all HR Stakeholders, Management and its employees.
- Ability to cooperate, works well, and get along with supervisors, co-workers, management, the community, relevant agencies and the public. Work with or supervise people having various cultural backgrounds, levels or education and experience.

- Advanced Microsoft Office, Understanding of SAP and effective in Document Management Systems.
