Overall Job purpose
To provide communications and event management support in South Africa (SA), for the Internal Comms and Engagement team. The role primarily supports the Internal Comms Business Partner, the Head of Employee experience and the SA Head of People, whilst also providing cross-portfolio support where required. Its a critical role that will enable us to deliver a best-in-class employee communications, experience and wellbeing programme.
Primary Tasks
Support the Internal Communications Business Partner as well as the SA Head of People with the following:
Events And Activations
- Driving participation in the annual Wellness Day week including flu jabs
- Organising and managing monthly wellbeing workshops (and other adhoc workshops)
- Work closely with Planning team for scheduling of frontline teams
- Organise Mental Health Champions quarterly session (invite and attendee management)
- Logistical support for in-person events (room bookings, catering, printing collateral, managing suppliers and liaising with stakeholders as required)
- On the ground support for in-person activities
- Process management for wellbeing programmes and activations
- Research content
- Source employee stories
- Update and edit VITL hub content
- Work with design on concepts
- Draft and edit general communications for SA community
- Weekly Digest newsletter:
- Research content and source stories
- Draft copy and source suitable imagery
- Proof and edit
- Coordinating leadership engagements events (site visits, broadcasts, roadshows):
- Attendee and invite management
- Room bookings
- Venue hire
- F&B
- On-site logistical support
- Star Awards programme:
- Contribute to quarterly data reports
- Coordinating quarterly winner announcements
- Logistical support for two-day quarterly experience (flights, attendee management), including hands-on support at the event if required.
- Assist with the relevant invoicing cross charging
- BAU events (CSI Events, annual parties, roadshows, SLTs):
- Attendee management
- Printed collateral
- Invoicing
- Hands-on support at the events
- Manage VITL mailbox and flag actions to relevant team members
- Manage internal comms calendar and team activity/campaign schedule to ensure appropriate cadence in SA
- Run staff competitions and sponsorship ticket drives
- VITL platform BAU management (updates and site management)
- Invoice management and expenses
- Adobe Workfront management for design jobs
- Manage merchandise / desk drop purchasing and research
- Invoicing
- Draft and edit BAU comms for Internal Comms Business Partner / SA Head of People
- Support the SA Head of People with any ad-hoc events and travel logistics as they arise
- Good level of secondary education + some work experience
- Degree level or equivalent + 2-5 years work experience
- Degree level or equivalent, possibly professional qualifications and 5 years + work experience
- Significant work experience at a senior level
- Confident writing skills
- Excellent interpersonal skills
- Strong organisational skills
- Proven ability to manage multiple and varied projects and tasks simultaneously

- Experience with different digital platforms
- Experience with Photoshop/Indesign or similar design tools
