We are looking for a dynamic and detail-oriented M&E Executive to manage and finalize group sales while acting as the main point of contact between clients and internal teams. The role requires strong customer service skills, organizational abilities, and effective coordination to ensure seamless execution of confirmed group bookings and events.
Key Responsibilities
Sales & Booking Management:
- Consult, quote, negotiate, and confirm group bookings (BV & MICE)
- Coordinate with internal stakeholders (resorts, transport, finance, revenue, etc.)
- Organize and attend site inspections when needed
- Confirm bookings using WEBNA
- Issue contracts and manage invoicing/payment follow-up
- Coordinate final rooming lists and programs with resorts and clients
- Handle group transport arrangements
- Update internal tools and documents (Mega, My Key)
- Finalize group programs and make necessary adjustments post-sale
- Sell additional services (e.g., excursions)
- Oversee on-site group execution if needed
- Liaise with internal departments to ensure all group needs are met
- Utilize Salesforce, Grooper, WEBNA, My Key, and MEPI throughout the process
- Ensure accurate and timely data entry in all systems
- Maintain strong, long-term relationships with clients
- Provide quick, solution-oriented support
- Minimize cancellations through excellent service and proactive communication
- Handle post-event feedback and client care
- Quote conversion rate
- Timely invoicing and payment coordination
- Client satisfaction and retention
- Group production quality
- Effective use of MICE tools/systems
- Number of groups managed and associated BVSTS
Education:
- Matric / High School Diploma or higher
- Ability to engage with top-tier corporate clients and agents
- Previous experience in the travel, sales, or events industry
- Client-facing experience (in person and remote)
- Prior experience at a Club Med resort is a plus
- Knowledge of Club Med products and MICE procedures
- Strong sales, negotiation, and administrative skills
- Highly organized with excellent attention to detail
- Strong communication and interpersonal skills
- Client-oriented mindset with a proactive approach
- Microsoft Office Suite (Word, Excel, PowerPoint)
- Tools: Salesforce, Grooper, WEBNA, My Key, MEPI
- Fluent English
