At Hyatt South Africa, we pride ourselves on delivering exceptional guest experiences and creating memorable events across our portfolio of properties. We are seeking a dynamic and detail-oriented Events Coordinator to join our team and support the hotels within our group.
The Events Coordinator is responsible for managing all group accommodation and event bookings from enquiry through to execution. The role ensures seamless coordination of group stays and events across Hyatt South Africa properties, providing accurate and timely support to clients and internal stakeholders.
Responsibilities but not limited to:
- Respond to all group accommodation and event enquiries promptly
- Prepare tailored proposals, room block contract and event documentation in accordance with client requirements.
- Draft and issue group contracts in line with hotel standards and client agreement
- Prepare Banquet Event Orders (BEOs), event schedules and other operational documentation in collaboration with the events team
- Coordinate with the relevant departments such as food & Beverage, Housekeeping, and front Office to ensure the smooth delivery of group stays and events.
- Track group payment deadlines and follow up on outstanding deposits due.
- Monitor group pickup and rooming list updates and communicate any changes to stakeholders promptly.
- The role is 100% dedicated to group accommodation and events coordination
Key Competencies
- Strong attention to detail in contract preparation, room block setup, and system accuracy
- Excellent organizational and time management skills, particularlu in managing multiple groups simultaneously.
- Clear, professional communication skills with both clients and internal teams
- Familiarity and proficiently with Opera and internal reporting tools.
- 2-3 years' experience within the hospitality industry as an events coordinator
