The Role:
Were looking for an exceptionally organised, detail-obsessed and proactive Personal Assistant / Executive PA to support our Director and our small, high-performing team.

What you will do:
- Manage the Directors diary, scheduling, meetings & follow-ups
- Record, type and distribute meeting minutes
- Maintain daily/weekly/monthly operational rhythms
- Check and reconcile multiple checklists, trackers and spreadsheets
- Assist the team with workflow and task management
- Handle HR administration (files, onboarding, leave, training records)
- Process supplier invoices & assist with client invoicing
- Manage office inventory, couriers, Uber requests & logistics
- Liaise with the accountant and ensure accurate financial admin
- Provide high-level executive, operational and administrative support
Minimum Requirements
- Matric
- Valid drivers licence + own transport
- Must live within 20 km of Waverley
- 3+ years experience as a PA / Office Administrator / Executive Assistant
- Google Workspace
- Microsoft Outlook (advanced)
- Excel (intermediateadvanced)
- SAGE Accounting
- Project management tools (Monday.com / Asana / Trello)
- Exceptional attention to detail
- Highly organised, structured and disciplined
- Proactive, solutions-driven and calm under pressure
- Strong communication and follow-through
- Able to manage multiple priorities in a fast-moving team
- Small, supportive and dynamic team
- Direct involvement in core operations
- Real responsibility and room for growth
- Work closely with a hands-on Director who values excellence and initiative
- The CEO is stress free, on time and doesn't do any admin tasks herself
- You are actively and with initiative, looking for ways to stop the CEO from doing jobs that are not hers to do and taking them over for her
- All team tasks and projects run to deadline
- Tasks and projects are managed to completion and not left to become cans kicked down the road
- Accurate and organized records.
- Efficient data management with zero errors.
- Professional and prompt communication.
- Effective scheduling with no conflicts.
- Smooth financial operations and well-maintained office environment.
