Requirements
Executive Support & Calendar Management
- Provide high-level calendar management for the Executive, including prioritizing meetings, resolving scheduling conflicts, and ensuring optimal time allocation
- Anticipate needs and proactively manage logistics to ensure smooth daily operations
- Plan, schedule, and coordinate internal and external meetings and events such a dinners and lunches, including agenda preparation, attendance tracking, presentation material development, and minute-taking
- Track action items and follow up with responsible parties to ensure timely completion
- Handle a wide range of administrative tasks: travel arrangements, expense reports, document preparation, and correspondence
- Support the Executive with special projects, research, and the creation of high-impact presentations and reports.
- Serve as the primary point of contact for internal and external stakeholders on behalf of the Executive. Manage sensitive and confidential information with discretion and professionalism
- Keep the Executive informed of key priorities, deadlines, and developments
- Act as a "barometer" for the team, sensing issues and opportunities and ensuring the General Manager is prepared and aligned
- Bachelor's degree or 3-year tertiary qualification in Office Management or Business Administration
- Minimum 5 years' experience as an Executive Assistant
- Significant executive support experience, including supporting C-level executives.
- Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
- Strong verbal and written communication skills.
- Exceptional organizational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders and lenders.
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Ability to maintain a high level of integrity and discretion in handling confidential information
- Excellent judgment is essential.
- Ability to switch gears at a moment's notice.
