As part of our expansion in Southern Africa, we are strengthening our Johannesburg (Sandton) office, which plays a key coordination role for regional activities.
Position Overview
We are seeking a highly organized, proactive, and reliable Executive Assistant / Office & Operations Support professional to support the senior management and regional coordination activities of GWICs Johannesburg office.
This is a hands-on, high-responsibility role, ideal for someone comfortable operating in a fast-paced, international environment, dealing with senior stakeholders, and ensuring that decisions are translated into concrete actions and follow-up.
The role goes beyond traditional secretarial support and includes executive coordination, internal follow-up, office management, and operational support.
Key Responsibilities
Executive & Management Support:
- Provide comprehensive administrative and organizational support to senior management.
- Manage executive calendars, meetings, travel arrangements, and logistics.
- Prepare, review, and format correspondence, reports, presentations, and internal documents.
- Handle sensitive and confidential information with discretion and professionalism.
- Prepare agendas, minutes, action lists, and follow-up notes for internal coordination meetings.
- Track action points, deadlines, and responsibilities, and proactively follow up to ensure completion.
- Support coordination between GWIC offices, departments, and external partners.
- Support the day-to-day operations of the Johannesburg (Sandton) office.
- Act as a first point of contact for internal and external communications.
- Coordinate office activities, suppliers, and service providers as needed.
- Support the organization of internal meetings, workshops, and company events.
- Manage emails, calls, and general correspondence.
- Liaise with stakeholders across different countries, cultures, and time zones.
- Support internal reporting and information flow between management and teams.
- Bachelors degree in Business Administration, Management, International Relations, or a related field (preferred).
- Proven experience in a role such as Executive Assistant, Executive Secretary, Office Manager, or Operations Support.
- Excellent organizational skills, with strong attention to detail and follow-up capability.
- Ability to manage multiple priorities in a structured and calm manner.
- Strong interpersonal skills and confidence interacting with senior stakeholders.
Languages
- English Fluent (mandatory)
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Comfortable working with digital tools for coordination, scheduling, and document management.
- Experience with collaboration platforms (e.g. MS Teams) is an advantage.
