Job Overview:
The Filing Clerk is responsible for organizing, maintaining, and managing physical and electronic records to ensure documents are easily accessible, accurate, and securely stored. This role supports daily administrative operations by handling filing systems, retrieving records upon request, and ensuring compliance with company policies and recordkeeping standards. The Filing Clerk plays a key role in maintaining efficient office workflows and data integrity
1. General Administration:
- Ensure an accurate and systematic filing system is maintained according to company standards
- Keep accurate records of documents removed
- Ensure files are put in their correct location at all times - documents can be easily located and retrieved from files
- Ensure that requested documents are retrieved for authorized personnel within agreed times
- Ensure that deadlines are adhered to at all times
- Prepare documents for archiving
- Clear archives of documentation which is over age and prepare for shredding
- Photocopy and scan documents as required
- Organize work and time to ensure that deadlines are met
- Report any problems to management proactively
- Handle queries speedily and efficiently ensuring that interaction with colleagues and management are professional
- Ensure confidentiality of all documentation is maintained
- Minimum Grade 12
- Computer Literacy
- 2 years experience in the same or similar position.
