Human Resources Administrator at Famous Brands

The incumbent must perform a Human Resources administrative function in support of the assigned HR Business Partner, which includes but is not limited to HR administration and reporting.

Human Resources Administration and Reporting
  • Ensure that all administrative duties are in compliance with policies.
  • Assists employees with the completion of all necessary documentation relating to new engagements, terminations and changes to conditions and/or benefits of all employees, in line with HR Policies
  • Ensures that payroll input is accurate by performing monthly audits on the information captured on to the HR payroll system prior to sign off by the HR Business Partner i.e -Manage the Front end process of HRMDV and Cross checking each other
  • Ensures that there are effective HR controls and systems in place and maintained on an ongoing basis
  • Ensures that support is provided for increase letters that are drafted and sent to all employees following approval of increase mandates
  • Compiles and maintains job descriptions and organograms as necessary.
  • Ongoing HR Tracker reporting as well as any HR Ad hoc reports required.
  • Administer leave queries.
  • Ensure that new employees have access on the systems they require to do their work on by notifying the relevant parties.
  • Notify IT of all terminations and contract changes.
  • Clear all HR queries on various platforms.
Employee Well-Being and Support
  • Provides assistance on all Human Resources Policy related matters, including loan policy, funeral benefits, salary advances, sale of leave, medical aid, provident fund, study assistance, maternity benefits and contracts
  • Provides a counselling service to all staff on work related matters and social problems, and makes referrals to professional bodies including EAP services where appropriate
  • Provides an advisory service on employee benefits including medical aid and retirement benefits, study assistance, and pre-retirement counselling
  • Provides guidance and counselling to management and staff on the disability process, and provides an ongoing counselling service regarding the progress of their application, which is followed up in writing
Education, Training and Development Practices
  • Support with the onboarding and induction process for new employees
  • Process study assistance documents,
Recruitment, Selection and Retention of Staff
  • Assists management with the recruitment and selection of staff by short listing applicants, setting up of interviews, interviewing, and reference checking applicants
  • Ensures that applicants are notified timeously regarding the outcome of interviews, and that appointment and regret letters are processed accordingly.
  • Conducts exit interviews and captures the responses into a monthly report
  • Conducts 100 day interviews and captures the responses into a monthly report.
  • Advertise roles on internal and external platforms
Industrial Relations
  • Attends disciplinary, grievance, and appeal hearings to assist the HR Business Partner with administrative and other processes
  • Provides assistance to line management in the compilation of disciplinary allegations, including letters of suspension, and general correspondence between the parties - (On an Administrative basis as and when required)
  • Capture all IR related matters on the system.
  • Assists with Human Resources related projects on an ad hoc basis as the need arises.
  • Ensures that Staff Surveys are conducted and returned timeously to ensure accurate statistics are obtained.
  • Support with the ongoing HRMDV project to ensure accurate data loaded on the System (Sage 300)
  • Process purchase orders and payments on Workflow.
  • Support employees with ESS queries
Education and Experience
  • Minimum of matric
  • Appropriate HR qualification preferred
  • At least 2 years' experience in a similar role
  • Sage 300 People knowledge is essential
