FRONT OFFICE MANAGER at Creative Studio Environment

My client is a busy, fast paced creative environment, which requires a proactive, energetic front office manager whose skills need to extend to managing the smooth running of the studio on a day-to-day basis, while supervising a small team of support staff. Ideally you will have been in a similar role with a level of responsibility for handling diverse aspects across an office environment, being able to "think on your feet", and at the same time, have a strong attention to detail and accuracy.

Your Responsibilities Will Include
  • implementing and maintaining administration procedures/office administrative systems
  • Basic reception and front desk responsibilities including managing telephone system; handling courier deliveries and collections; relaying messages; communicating studio alerts to staff;
  • Maintaining IT & AV hardware and software and liaising with outsourced IT support team to ensure all systems are running smoothly to ensure productivity
  • Organising boardroom meetings and catering
  • Maintaining upkeep of studio furniture
  • Assisting with employment equity submissions
  • All travel arrangements for staff
  • Overseeing cleaning staff
  • Ordering stationery and managing office storage
  • Organising induction programmes for new employees
  • Ensuring that health and safety policies are up to date
  • Minuting weekly status meetings with design team
  • Assisting the organisation's HR function by keeping personnel records up to date, arranging interviews when necessary
  • Studio security: managing keys; opening and closing procedures; alarm systems; etc
  • Collating of staff timesheet information and issuing to financial manager
  • Manage and update asset register for insurance purposes
  • Apart from MS Office software skills, ideally you will oversee that staff are updated on all software packages used in this office.
As this is a busy office, we are looking for an experienced person with a minimum of five years of related PA, secretarial and office management experience in a front office of a similar creative and busy nature.
