Maintenance Controller

Key Performance Areas

Office administration duties:
  • Overall responsibility to accurately and timeously prepare and distribute scheduled (monthly, weekly and daily) and ad-hoc reports as might be requested by department manager and / or head office, e.g.: preparation of weekly department KPA report, service schedule reports, marketing campaign reports, etc.
  • General administrative duties including Debtors, Creditors and Petty Cash.
  • Setting up meetings, taking minutes and distribution thereof.
Controller Duties
  • Overall responsibility to schedule, plan and communicate technicians / mechanics service activity to relevant staff member(s) and customers; dispatching of technicians to attend to breakdowns
  • Facilitating customer complaints and queries; ensure it is followed through and communicate process
/ result to customers
  • Ensuring that Maintenance team achieves predetermined targets
  • Foster and maintain dedication to service excellence in every aspect of work carried out; ensure timeous feedback / communication to customers
  • Processing of Service Agreements (as and when required), processing of invoices, creating order numbers, updating of records on Kerridge system (ensuring that jobs are opened and closed as per company standards, accurate and timeous processing of invoices, generating order numbers for both internal and external customers, accurate and timeous processing of technicians / mechanics time sheets, etc.). Depending on the specific team the controller is placed in, various specific administrative tasks relating to invoices and managing service schedules will be added to this area of responsibility.
  • Ensuring that STR achieves the predetermined targets / budget.
  • Overall responsibility to ensure quality of customer interaction and service (drive customer service excellence, ensure good communication with customers, developing and fostering partnerships with and tailor made solutions for clients; evaluation of own development needs and ensuring lack of knowledge / skills are addressed.
  • Telesales and maintenance of records/ quotes register.
  • Full responsibility to reserve, arrange delivery and collection of and manage overall control of short term rental fleet units; responsible to schedule, plan and allocate drivers' trips on a daily basis; responsible for all invoicing pertaining to transport.
  • Full responsibility to ensure all documentation for the delivery of a forklift is accurate, complete and properly authorised (e.g. credit applications, signed contracts from clients, credit applications, etc.).
  • Full responsibility to manage cash sale account within set parameters.
  • Invoicing and costing on a daily basis.
  • Liaise with Debtors regarding accounts for new customers.
  • Responsible for communication with workshop re preparation of machines prior to delivery
  • Facilitating customer complaints and queries; ensure it is followed through and communicate process /
result to customers; foster and maintain dedication to service excellence in every aspect of work carried out; ensure timeous feedback / communication to customers.
  • General assistance to branch as and when required.
Requirements
  • Grade 12 / Matric + minimum of 5 years relevant experience.
  • Valid Code 8 Driver's license.
  • Advanced / Expert Computer literacy in MS Outlook, Word & Excel.
  • Knowledge requirements:
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of quality control processes, costs and other techniques for maximizing the effective storage and distribution of products (equipment and parts)
  • Knowledge of the English language as business communications medium spelling, grammar, rules of composition, language structure, etc.
  • Experience working on the Kerridge system.
  • Maintaining and updating information on database.
  • Tertiary qualification in business administration.
