Logistics and Admin Coordinator

Main Purpose

The Primary function of this role is to support the Finance Manager: Business Process, with the expansion of the shared services centre in Johannesburg supporting Impalas African 3rd party freight forwarding operations including
  • Input transport/FOB/Ocean Freight data, into system
  • Review project PnL to ensure accuracy and validity
  • Review truck tracking reports & analyse cargo movements
  • Settlement proposals are issued to vendors accurately and on time
  • Perform quality review audits on projects completion and timeous submission to Finance for invoicing .
Knowledge Skills And Abilities, Key Responsibilities

Knowledge, Skills and Abilities
  • Industry experience in cross border logistics and freight forwarding essential;
  • Experience with reviewing truck manifests, bills of lading, PODs and other customs documents essential
  • Strong MS Excel skills essential
  • Process orientated with a good attention to detail;
  • Highly organised with the ability to prioritise tasks in fast changing environment;
  • Must be able to work under pressure and adhere to aggressive deadlines
  • 1+ years experience in transport administration, reviewing customs documents, rates management, project reviews and issuing purchase orders to vendors
  • Strong communicator and fluent in English
  • Strong systems knowledge (Navision, Navitrans & Qlikview);
Key Responsibilities

Transport project management
  • Ensure that projects are correctly set up within the system in terms of project SOPs & Quotations
  • Review truck data received from sites and upload data into system;
  • Ensure that sell & buy rates charged agree to quotations and authorised price lists;
  • Review all PODs and related documents for completeness and accuracy before invoicing
  • Issue purchase Settlement Proposals (i.e. purchase orders) to vendors (transporters, warehouses etc.) once services rendered;
  • Upload supporting documents into online document management system;
  • Review of projects and submit to finance team for invoicing;
  • Ensure that all transport projects are correctly closed off and relevant documents are archived;
  • Perform quality control reviews on completed projects.
Reporting Responsibilities
  • Preparation of project & POD dashboards
  • Preparation of other ad hoc reports and analysis as required
