Administrative Assistant | Managed People Solutions | Johannesburg

Managed People Solutions is looking to hire an Administration assistant for a very well-known Liquor Company based in Johannesburg area.

Key Responsibilities
  • Key Stakeholder for end-to-end travel management / diary management for the CP&A Head SUBSA, including market conferences and ad hoc visits in country and international.
  • Manage and update team calendar, arrange travel, accommodation, catering, car hire as required, Concur Management and Support.
  • Organizes customer meetings for CP&A Head SUBSA across CP&A Managers, Supplier, Key Accounts and supports in taking meetings minutes when invited.
  • Set up and partakes in weekly CP&A meetings and takes minutes and distribute to necessary role players accurately and timeously as required.
  • Coordinates with CP&A team for regular updates on SIP Tracker for SUBSA CP&A team using the relevant scorecards and dashboards.
  • Collect monthly report Opposition, Activation, POS, A&P for on trade and Off trade for CP&A Head SUBSA
  • To organize Bacardi corporate events e.g. Back to Bar, Founders Day, CSI, Team virtual lunches, after works drinks and Birthday shout outs.
  • End to end responsibility for PO & GRNs for BSA and leading PTP Tracker on POs, POPs, GRN and GRIR for BSA Monthly and Quarterly.
  • Weekly SOH tracker to be sent out to team on POS items at Visible works and what items per campaign are remaining.
  • On trade business plan contract monitoring and A&P tracking, POP management. Tracker to be created in Excel to give a clear view of Total budget vs paid out. (To be monitor via to the POs and GRNs created).
  • A&P tracker to provide CP&A SUBSA visibility of A&P tracking by brand by quarter.
  • To distribute the weekly payment made by finance to relevant Sales Primo individually for customer/supplier.
  • To raise all GTN payments with finance and track payment on a monthly and quarterly basis.
  • Vendor Creation to be the central point of vendor creation with procurement team, to get the relevant approvals and to process thereafter.
  • Stock deal and rebate tracker for On and Off trade. To compile by customer the stock deal and sales out with POP.
Requirements
  • Grade 12.
  • Administration / Marketing assistant.
  • Computer Literacy.
  • 3 5 years experience.
