Job Description
Event Planning & Execution:
- Develop and oversee detailed event timelines, schedules, and task checklists.
- Manage all logistical aspects, including venue selection, supplier coordination, and transportation arrangements.
- Liaise with vendors, clients, and key stakeholders to confirm and finalise event details.
- Lead on-ground event operations to ensure seamless execution.
- Identify and resolve any operational challenges in real time.
- Supervise event setup and breakdown, ensuring all elements meet required standards.
- Handle event-related documentation, contracts, and invoice processing.
- Maintain and update key databases, including supplier and client records.
- Compile post-event reports to assess performance and identify improvement areas.
- Work closely with marketing, sales, and creative teams to align event objectives and messaging.
- Support project coordination and ensure clear communication across departments.
- Diploma or Degree in Events Management, Project Management, Business Administration, or a related field.
- 35 years of experience in event coordination, logistics, or operations (preferably in conferences or large-scale events).
- Strong organizational and multitasking skills with excellent attention to detail.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) and comfortable with project management tools or CRM systems.
- Excellent written and verbal communication skills.
- Ability to work under pressure and manage multiple projects simultaneously.
- Fluency in Portuguese or French will be a strong advantage.
- Willingness to travel occasionally for events or onsite coordination.
