Personal Assistant at Intdev Internet Technologies

Purpose of the position

The purpose of a Personal Assistant to the Managing Director is to facilitate the director's focus on critical tasks and strategic decision-making by assuming responsibility for administrative tasks. This valuable support role enhances organisational efficiency and allows the Managing Director to concentrate on driving the company's strategic goals. Key qualities required for the position include a high level of professionalism in all interactions and tasks, the initiative to anticipate and handle issues proactively, and discretion when dealing with confidential and sensitive information. In summary, the Personal Assistant to the Managing Director is an essential role that supports the leadership in executing its duties effectively and efficiently.

Key Responsibilities
  • Organisation and Time Management: PAs need to effectively manage the MD's schedule, ensuring they have adequate time for all important meetings, events, and personal responsibilities. This includes planning, scheduling, rescheduling, prioritising, and coordinating engagements.
  • Communication Skills: A PA serves as a liaison between the MD and other stakeholders (employees, clients, board members, etc.). Therefore, it's crucial to have excellent verbal and written communication skills to convey messages clearly and professionally.
  • Discretion and Confidentiality: A PA often has access to sensitive information, so maintaining confidentiality is paramount. They should also be able to exercise discretion when dealing with delicate matters.
  • Detail-Oriented: Attention to detail is vital when it comes to organising schedules, managing projects, preparing reports, and dealing with correspondence.
  • Problem-Solving Skills: A PA should be capable of solving problems independently, especially those that could disrupt the MD's schedule or responsibilities. They should be proactive and able to think on their feet.
  • Understanding of Business Operations: PAs need a good understanding of the company's operations to effectively support the MD. This knowledge helps them make informed decisions and provide valuable input when required.
  • Technical Skills: Proficiency in office software (like Microsoft Office is mandatory.). Familiarity with project management tools, video conferencing platforms, and other business software will also be beneficial.
  • Interpersonal Skills: PAs often work with a variety of people, so it's important to be diplomatic, empathetic, and personable. Building positive relationships can aid in the smooth running of the MD's office.
  • Stress Management: The role of a PA can be stressful due to the high level of responsibility and the fast-paced environment. Thus, stress management and resilience are important qualities for a PA to possess.
  • Adaptability: The needs and tasks of a PA can change rapidly, so it's crucial to be flexible and ready to handle whatever is required. This might mean staying late one day, travelling on short notice, or dealing with an unexpected crisis.
Education and Experience
  • Bachelor's degree or similar;
  • Minimum 5
  • 10 years' experience as Personal Assistant, or similar role;
  • Business language proficiency;
  • Good typing skills, proficiency in grammar, spelling and writing.
  • Highly computer literate, Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Mandatory;
  • Knowledge of standard software packages and the ability to learn company-specific software where required.
