KEY RESPOSIBILITIES:
Client Instruction Management:
- Receive and log client instructions regarding product storage, handling, and dispatch.
- Verify and clarify client requirements with the Planning Manager when necessary.
- Ensure that instructions are accurately conveyed to relevant internal departments. All instructions must also be captured on the WMS system.
- Schedule inbound and outbound shipments in alignment with client needs and operational capacity.
- Coordinate with the Operations team to ensure timely execution of storage, inspections and dispatch activities.
- Input all required tasks on the WMS system.
- Arrange inspection activities with the relevant authorities.
- Monitor the progress of daily tasks and escalate issues to the Planning Manager as needed.
- Maintain accurate records of product movement, including receipts, dispatches, and inventory updates.
- Prepare and distribute operational schedules and updates to relevant stakeholders.
- Generate reports on daily throughput, inventory levels, and order status for the Planning Manager.
- Act as a point of contact for clients regarding order status and updates.
- Provide clear and timely communication between clients, the Planning Manager, and internal teams.
- Address client inquiries and escalate unresolved issues to the Planning Manager.
- Ensure that all processes align with regulatory and client-specific requirements (e.g. Special Markets, SAGAP, SOLAS, PPECB) as well as internal Standard Operating Procedures.
- Assist in maintaining documentation for audits and inspections as directed by the Compliance Officer or Planning Manager.
- Identify areas for improvement in scheduling and coordination processes.
- Provide feedback to the Planning Manager to enhance operational efficiency and client satisfaction.
Educational Requirements:
- High school diploma or equivalent required; a diploma or degree in Logistics, or Supply Chain Management is preferred.
- Training or certification in logistics or warehouse management is advantageous.
- 2+ years of experience in logistics, planning, or warehouse coordination, preferably in a fruit cold storage environment.
- Familiarity with scheduling and warehouse management systems (WMS) is an advantage.
- Strong organizational and multitasking abilities.
- Effective communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and inventory management software.
- Attention to detail and ability to maintain accurate records.
- Problem-solving skills and the ability to work under pressure.
- Ability to work in a cold storage environment when needed.
- Flexibility to work extended hours during peak seasons.
