KEY RESPONSIBILITIES:
Client Coordination:
- Act as the primary liaison between clients and internal operations.
- Interpret client instructions regarding fruit storage, handling, and dispatch requirements and translate them into actionable plans.
- Ensure clear communication with clients regarding schedules, updates, and issue resolution.
- Develop and manage daily, weekly, and seasonal plans to align with client requirements and operational capacity.
- Coordinate with the Operations Manager to ensure seamless execution of storage, loading, and dispatch activities.
- Monitor and adjust plans in response to unexpected changes, such as delays or client revisions.
- Lead and supervise a team of two coordinators, ensuring efficient task allocation and high performance.
- Provide training, mentorship, and regular feedback to the coordinators.
- Foster teamwork and collaboration between planning, operations, and other departments.
- Oversee the scheduling of inbound and outbound shipments to minimize delays and maximize storage efficiency.
- Monitor stock levels to ensure timely allocation and rotation of inventory in line with client requirements.
- Maintain accurate records and documentation for all shipments and inventory movements.
- Ensure adherence to food safety standards, cold chain protocols, and industry regulations.
- Implement checks to verify compliance with client specifications and regulatory requirements.
- Collaborate with the Operations Manager to resolve non-conformances and prevent future issues.
- Prepare and present performance reports to the General Manager, highlighting key metrics such as throughput, turnaround times, and client satisfaction.
- Analyse planning data to identify trends and propose improvements in workflows and processes.
Educational Requirements:
- Qualification in Supply Chain Management or Logistics (preferred) or equivalent experience.
- Certifications in logistics or planning are advantageous.
- 5+ years of experience in fruit logistics, planning, or coordination roles, in the cold storage sector.
- Knowledge of cold storage processes, food safety standards, and inventory management systems.
- Demonstrated ability to manage client relationships and translate complex requirements into operational plans.
- Strong knowledge of fruit cold storage operations and logistics processes.
- Proficiency in planning software, warehouse management systems (WMS), and Microsoft Office Suite.
- Excellent communication, negotiation, and interpersonal skills.
- Analytical mindset with strong problem-solving and organisational abilities.
- Ability to work under pressure and adapt to a fast-paced, dynamic environment.
- Comfortable working in cold environments occasionally to coordinate operations.
- Willingness to work extended hours and weekends as dictated by operations.
