Bid Support and Process Manager

As Bid Support & Process Manager, you are required to contribute to the generation and sustainment of business for the organisation in your appointed domain. In this role, you will be responsible for the local support of the CRM tool and act as the super user.

You will further be responsible for setting up the bid structure in IFS to support the bid managers and management, as well as update of the BD&S SharePoint. Initiate the business intelligence facility, management of the external OEM portals, and coordinating the inputs thereof.

As the Bid Manager for an assigned product, you are responsible for managing bids in response to requests (RFP, RFI, PQQ, ROM etc.) for proposals from customers. You are responsible to manage the proposal preparation according to the Winning Business process and must work in cooperation with the Sales Responsible.

The role will be reporting to the Bid Office Manager.

Your role:

Perform the role of a Bid Support and Process Manager with 50% time allocated to following activities:
  • Initiate and contribute towards WB Process Digitisation
  • Be the super user for the new CRM and attend super user meetings
  • Assist users by providing local support and training to users
  • Register and provide user support
  • Assist in the ASN Structure creation in conjunction with financial controller for various opportunities
  • Manage the BD&S SharePoint site
  • Coordinate Exhibitions site info on the BD&S SharePoint Team Site
  • Contribute to BD&S quality inputs in order to capture processes in BMS / GMS
  • Capture customer complains in the Saab In Control BI Munkeby system
  • Part of the WB Process audit events
  • Initiate and establish the business intelligence facility at BD&S
  • Update and take ownership of the Central Supplier Database and in conjunction establish Tender Support Documents folder
Perform the role of a Bid manager with 50% time allocated to following activities:
  • Manage bids in accordance with the Win Business Process
  • Create draft Bid Plan prior to WB2, together with the PSR
  • Request manning of the proposal team, prior WB2
  • Finalize and execute bid plan according to WB2 decisions, if applicable
  • Responsible for the proposal structure (RFP items, document plan etc.) in accordance with request
  • Responsible for managing PO3 calculations
  • Ensure that the commercial cost risk exposure on all bids is understood, documented, communicated to all stakeholders and appropriately addressed/mitigated
  • Initiate, organize and manage the planned proposal activities up to WB3 within the schedule
  • Responsible for confirming with Operations and other departments, as applicable, resource availability for project execution after contract
  • Facilitate the sourcing of general bid material
  • Regular coordination of proposal progress with the Sales Responsible
  • Request resources for review team, if required
  • If required, participate in contract negotiations
  • Synchronizing with Product Owners/Managers
  • Finalise the tender
  • Report Submitted Proposals
  • Keep an auditable trail of all bid artefacts and records on recognised company systems
Your profile

A proven track record of successful execution and collaboration across multiple business functions with different types of stakeholders is an advantage.

Skills, Knowledge and Experience:

  • Project Management
  • Bid Management
  • Data base management e.g. CRM
  • Commercial Knowledge
  • 3-5 years experience in Bid management environment
  • 1-2 years in Process management
  • 1-2 Years in Data base management
  • Advance Microsoft experience (word, excel, powerpoint)
Qualification:

  • Min Grade 12, suitable tertiary qualification or equivalent years of experience will be an advantage
