Receptionist

This role exists to deliver an exceptional, client focused reception and workplace services experience, ensuring every visitor and colleague receives a warm welcome and a seamless level of support.

It plays a key part in upholding the firms professional image by maintaining a high quality reception environment and providing proactive assistance across meetings, hospitality, and operational services.

The role supports the smooth running of the office by coordinating meeting rooms, technology, suppliers, and logistics, ensuring everything functions efficiently and reliably.

Through responsive service, attention to detail, and strong collaboration with clients, lawyers, and internal teams, the role contributes to creating an environment where people can do their best work.

Main duties and responsibilities
  • Provide a first class professional and client focussed reception service to internal and external clients and visitors
  • Rendering support with regard to, for example, storage, archiving, mail services, logistics, catering, vending, reception, switchboard services, security, hospitality and meeting room support and health and safety compliance
  • Meeting and greeting clients and visitors to ensure a good first impression of the firm is achieved
  • Ensuring that the reception area is maintained to a high standard and is presentable at all times
  • Liaising with clients and lawyers to ensure full and proactive business support is provided to their areas of responsibility
  • Booking meetings rooms (and refreshments) via a computerised booking system
  • Booking and setting up video conference facilities and Webex meetings
  • Dealing with queries and requests from internal and external clients and visitors at all levels
  • Regularly inspecting and ensuring meeting rooms are tidy and adequately stocked with stationery items etc.
  • Liaising with suppliers and staff to ensure meals and refreshments arrive on time and that meetings rooms are set up correctly with the correct equipment
  • Assisting with meeting room furniture set ups
  • Ensure that all IT equipment is fully functional before meetings/training sessions start and reporting any issues/problems timeously
  • Setting up audio visual equipment and IT equipment
  • Organising taxis for clients and staff
  • Booking parking
  • Assisting customers with enquires relating to directions etc.
  • Attend staff and health and safety committee meetings as appropriate
  • Read and understand the requirements of the firm's Health and Safety policy and ensure that it is applied appropriately
  • Complying with all the firm's policies and procedures in place from time to time. Including without limitation, the DLA Piper Anti-Bribery and Corruption policy and the Confidentiality policy
  • Assisting with HR related administration as and when required
About You
  • Relevant experience within a corporate/professional services environment is essential. Law firm experience desirable
