Job Description
PURPOSE OF THE POSITION
Management of all administrative and associated responsibilities of the Paediatric Neurology & Speech-Language therapy satellite practice in Pretoria.
Key Responsibilities
Meetings and NWU admin
- CHHP and NWU meetings as required.
- Effective e-filing management.
- ICD-10 list to improve positive outcome for client's chronic application.
- Liaising between CHHP team in Potch and ZAH -enquiries and issues that arise.
- Billing and age analysis ongoing process.
- Maintaining supplies.
- Effective running of practice.
- Maintenance ongoing process.
- Liaison with doctors, hospitals, and medical aids.
- Management of therapy notes, reports, and financial requirements.
- Medical results, reports. CHHP/ Care2Kids meetings.
- Diary planning for all clinicians to work on academic and research.
- Managing appointments of all clients.
- Managing prescription and repeat prescription documents.
- Practice billing on Panacea (practice management system).
- File management and waiting list on ZOHO ensuring it is up to date according to communication from team.
- Reporting and managing client related challenges to C2K/ CHHP manager.
- Authorisations.
- Improved practice compliance with standard operating procedures (SOPs) and NWU institutional requirements.
- An advanced certificate in Office Practice, Medical Practice, Communication and Information Processing - Training in Executive Assistant / Executive Secretary / Personal Assistant (NQF level 5).
- A minimum of two (2) years experience working in a medical practice (specialist medical practice).
- Grade 12 (NQF level 4).
- A minimum of two (2) years experience working with the panacea billing and practice management system.
- A minimum of one (1) year experience working with the ZOHO e-file management programme.
- Computer literate (Word, Excel, Internet, Outlook, ZOHO, Panacea).
- Bilingual (Proficient in English & at least one other South African language e.g Afrikaans, Tswana, Sotho etc.).
- Prioritization & punctual completion of tasks.
- Management skills for organizing & delegating tasks.
- Diary coordination.
- Good organization, control & planning ability.
- Records management.
- Systematic planning & effective time management.
- Data capturing.
- Medical practice management & coordinating schedules.
- Ability to professionally work with clients/patients and personnel.
- Professional work ethic with a high level of self-motivation. Good language and communication skills.
- Integrity and responsible handling of confidential and sensitive information as well as client confidentiality.
- Demonstration of emotional stability and ability to work under pressure as well as function effectively in teamwork as well as alone. Good human relations, telephone etiquette and customer service attitude.
- Autonomous, accurate and assertive performance. Effective problem-solving skills.
