Destination Specialist - Cape Town (Travel)

Our client is a destination specialist for Southern Africa. They create tailor-made itineraries
for fit, group & mice travelers.They manage all manner of ground handling and logistics,
from touch down to departure. Their offices are in Cape Town, South Africa and Windhoek,
Namibia.

Job Type: Full Time | Hybrid

Requirements
  • Min 4-5 years DMC Experience
  • Language Speakers advantageous

Responsibilities
Sales:
  • Secure business and effectively cost products.
  • Understand the market and margin control.
  • Build up and maintain agent / supplier relationships.
  • Source new products.
  • Develop own sales strategy to secure more business through existing and new agents.
  • Work closely with the team to achieve goals.
Operations:
  • Quote and design successful, creative itineraries and proposals for all market related to all groups and FIT requests.
  • Capture all bookings from start to finish in Tourplan.
  • Negotiate with suppliers for better rates, cancellation policies and FOCs.
  • Find new suppliers that offer a good service and better rates.
  • Follow up on quotes that have been sent out.
  • Successfully run groups / FIT bookings.
  • Compile all travel documentation and welcome packs.
  • Handling the 24 hour emergency phone.
  • Prepare guide documentation and brief guide before travel date.
  • Work closely with tour guides whilst on tour.
  • Regularly pass on customer feedback to the Product/Reservations team
  • Customer in-country experience:
  • Call clients upon arrival in country and check on their wellbeing throughout
  • Communicate any tour/excursion changes in writing to the agent and verbally to the client.
  • Resolve any client issues whilst in country
  • Offer, sell, book and invoice additional excursion/tours to clients in country
  • Conduct at times in-person briefings with clients (e.g. VIP clients or consult with client to facilitate excursion)
Financial:
  • Instruct debtors to raise invoice.
  • Reconcile supplier invoices for processing.
  • Assist debtors clerk with invoicing / collection queries.
  • Reconcile tour guide expense sheets on completion of tours / check guide salary invoices.
Additional responsibilities
  • Participate in supplier training and workshops.
  • Reduce the transaction turnaround time.
  • Demonstrate good communication skills and customer care.
  • Stay current on events and changes of suppliers / product.
  • Travel on educationals and familiarizations trips.
