HPC - Future Africa Conference and Events Reservationist Vacancy
Job Purpose
The Conference & Events Reservationist is responsible for managing all guest inquiries and bookings related to banquets, events, and dining reservations. The role ensures smooth coordination between clients and internal departments, delivering accurate information, timely confirmations, and exceptional service. This position supports the revenue goals of the hospitality establishment by maximizing booking opportunities, maintaining organized records, and ensuring that all events and reservations are handled efficiently and professionally. Assistance and support of the Events Manager.
Key Responsibilities
- Handle all banquet, event, and dining reservation inquiries via phone, email, web, and in person
- Process tentative bookings accurately on the reservation system.
- Ensuring documents are fully and accurately completed upon receiving them
- Ensure all completed documents are in the clients files before submitting to the line manager for submission to UPs event committee.
- Update the reservation system and daily booking sheets regularly.
- Conduct venue site visits.
- To provide the appropriate level of services as per standards laid down.
- Ensure being presentable and in uniform when on duty / on shift.
- Deliver professional, courteous, and prompt service to all clients and guests.
- Cultivate strong client relationships to encourage repeat business and referrals.
- Ensure that the FACC Conference & Events manager is informed of all new and/or unforeseen developments during an event as soon as possible.
- Handle client changes, special requests, and concerns promptly and professionally.
- Liaise with all other departments (Hotel, Reception, Reservations, Kitchen, Gardens, General Assistants, IT & Security) to ensure all event requirements are understood and executed accurately.
- Distribute event orders/function sheets/handovers in a timely manner.
- Attend pre-event meetings, handovers, and post-event debriefs
- Tertiary Diploma within the Hospitality Industry.
- 1 to 2 years ' experience within the hospitality industry and administration
- Degree or higher in Hospitality or Events Management.
- 2 to 4 years' experience in a conference and banqueting environment
- Strong knowledge of concepts, principles, and practices of event planning and production and public relations.
- Strong knowledge of the campus, its programs, policies, mission, goals, objectives, achievements, and infrastructure, or ability to learn.
Shifts as required by operations
Will be required to work public holidays.
