Job Description
PRIMARY RESPONSIBILITIES
Perform business administrative duties to provide assistance to Industrial management.
Specific Responsibilities
General
- Ensure adherence to Standard Operating procedures
- Ensure adherence to company Code of Ethics
- Ensure all duties are performed in accordance with accepted service delivery standards.
- Maintain quality, efficiency and confidentiality of service.
- Liaise with and assist Workshop and Business Manager of the Industrial Business units.
- Perform any other reasonable tasks as assigned by direct line manager
- Adhere to all quality and safety requirements of the SGS management system.
- Perform any other reasonable tasks as assigned by direct line manager
- Performing workshop reception duties as and when required
- Familiarize self with all the items
- Receiving and processing requisitions from site in a timely manner
- Business Procurement Administration
- Sourcing quotations from suppliers as and when required
- Process Purchase Requests
- Receiving services/goods from suppliers
- Booking assets in and out
- Preparation of invoices to sites of all assets.
- Order follow up
- Supplier performance feedback
- Establish and maintain an effective communication channel between sites and workshop supervisor.
- Apply Procurement policies and procedure
- Petty Cash to be done in line with SGS procedures and submitted timeously.
- Adhoc administration duties required by the line manager.
- Stock take
- Filing and maintenance of filing system.
- Assigning asset identification numbers/tags to assets and attach to assets as and when required.
- Operate and maintain the asset management program.
- Cease the use of any equipment that may be deemed to constitute a safety hazard or entry to hazardous environments without the necessary knowledge and protection and take action to address the hazard.
- Cease to carry on with work that may affect the quality (integrity) of services and take action to address the issue.
- Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified.
PROFILE
- Grade 12
- Language: Proficiency in English and Afrikaans (Read, write, speak)
- Computer literacy in Word, Excel, Outlook
- Administration experience will be Advantageous
- Attention to detail
- To operate pro-actively and independantly
- Good interpersonal skills towards colleagues, customers and suppliers.
